Privacy Policy

How we handle information when you visit our site, use SpeekIt, or call a business using our receptionist.

Who this policy covers

SpeekIt provides a managed AI receptionist for business phone calls. This policy describes information handled through our website, accounts, and receptionist service. It covers website visitors, business customers and their team members, and people who call a business using SpeekIt.

When we handle caller information on behalf of a business customer, that business determines how it uses the information to serve its customers. Its own privacy practices also apply. If you called one of our customers, you can contact that business about your information or contact us for help directing your request.

Information we collect

Account and business information: names, email addresses, authentication information, team membership and roles, business names, phone numbers, locations, hours, services, prices, routing instructions, and other configuration information you provide.

Caller and appointment information: phone numbers, names, service addresses or ZIP codes, service requests, summaries, urgency, preferred times, appointment details, and follow-up notes. We receive this information from callers, business customers, and the providers that process calls for the service.

Call and service activity: call identifiers, start and end times, duration, call outcomes, transfers, usage, costs, and operational events. Our application stores structured call details and summaries rather than a library of audio recordings or full transcripts. Our voice provider processes call audio and conversation content to deliver the service; provider-side storage and retention depend on the applicable provider settings and terms.

Billing and communications: subscription and payment status, billing identifiers, usage records, and messages you send us. Stripe processes payment details through its checkout and billing services; our application does not store full payment card numbers.

Technical information: our hosting, authentication, and infrastructure providers may process IP addresses, browser and device information, request logs, and session identifiers to deliver and secure the service.

How we use information

We use information to create and secure accounts, configure receptionists, answer and route calls, capture leads, manage appointments, notify the appropriate business team, process subscriptions, and provide support. We also use service activity to troubleshoot failures, maintain and improve reliability, prevent abuse, resolve disputes, and meet legal obligations.

When information is disclosed

Business customers and their authorized teams receive the caller details, summaries, appointments, and call activity associated with their business. Information may also be passed to the destination a business configures for call transfers or notifications.

Service providers process information needed to operate SpeekIt. These include Convex for backend storage and application services, Retell and its supporting voice and telecommunications providers for call processing, Stripe for payments and subscriptions, Resend for transactional email, and hosting and infrastructure providers for website delivery and security. The information each provider receives depends on its function: for example, call content goes to the voice service, while lead alerts include caller details for delivery to the business.

We may disclose information when required by law, to protect people and the service, to investigate fraud or abuse, or as part of a merger, acquisition, or transfer of business assets subject to applicable privacy obligations.

We do not sell personal information or share it for cross-context behavioral advertising. The website does not use advertising pixels to track visitors across other websites.

Cookies and browser preferences

We use cookies and similar browser storage for authentication, session security, and preferences such as your display theme. You can clear or block them in your browser settings, although doing so may prevent sign-in or other features from working.

The site does not change its behavior in response to a Do Not Track signal. We do not use personal information for sale or cross-context behavioral advertising, regardless of whether your browser sends a Global Privacy Control signal. Service providers may collect technical information when delivering their services; we do not authorize advertising trackers to collect your activity across unrelated sites through SpeekIt.

Retention and security

Retention depends on the information and its purpose, including whether an account or customer relationship is active, whether records are needed for service delivery or support, and applicable billing, legal, security, and dispute-resolution needs. Different records and provider systems may have different retention periods. Deleting an account does not necessarily remove every related record immediately, including records subject to required retention or backup cycles.

We use access controls and authentication to restrict access to business information. No system or transmission method can guarantee absolute security. Information may be processed in the United States and other countries where our providers operate.

Your choices and privacy requests

You can review and update business information available to you in the application. To request access to, correction of, or deletion of personal information, or to ask about our practices, email team@speek.it. You do not need to create an account to make a request. Include enough context to locate the relevant account or business, but do not send passwords, payment card details, or unnecessary sensitive information.

Depending on where you live and which laws apply, you may have rights to know about or receive a copy of your information, correct it, delete it, or opt out of certain uses. California residents may have these rights under applicable California privacy law, including protections against discrimination for exercising applicable rights. An authorized agent may contact us on your behalf. We may need to verify your identity and the agent’s authority before disclosing or changing information, and some requests are subject to legal exceptions.

For information handled on a business customer’s behalf, we may refer the request to that business and help it respond. Account holders can also contact us to request account closure.

Children’s privacy

SpeekIt is a business service and is not directed to children under 13. If you believe a child has provided personal information through the service, contact us so we can investigate and address it.

Changes to this policy

We will post updates on this page and change the effective date. For material changes, we will also provide a prominent website notice or notify account holders by email, as appropriate and as required by applicable law.
